  • From parents and guardians: name, email address, phone number, and information you provide when enquiring about lessons or completing a booking.

  • About students who are minors: first name, age or age band, and any specific learning, accessibility or health information you choose to share with us so we can teach them safely and effectively.

  • From phone calls: when you call us, your call may be recorded and a voicemail or call summary may be stored. Recordings are used for service quality and follow-up purposes only.

  • From website forms and ad interactions: information collected via our website forms (Squarespace), Meta (Facebook/Instagram) lead forms, and online booking flows. This may include device, browser and approximate location data captured by analytics or advertising pixels.

  • Payment information: collected and processed by our payment provider, Stripe. We do not store full card details.

We do not knowingly collect personal information directly from children. Information about students under 18 is provided to us by their parent or guardian.

We share personal information only when necessary to deliver our services, and only with providers who are bound by appropriate privacy obligations. These include:

  • Opus1.io — our student management and booking platform (data may be processed in the United States)

  • Mobile Message — our SMS provider (Australian-based)

  • VXT — our phone system, including call routing, voicemail and call recording

  • HubSpot — for managing customer support enquiries and admin tickets

  • Squarespace — our website and booking forms platform

  • Stripe — payment processing

  • Meta (Facebook, Instagram) — for lead generation advertising and audience matching, where applicable

  • Google (Analytics, Workspace) — website analytics and email

  • Zapier — for connecting and automating workflows between the systems above

  • Our teachers and admin staff — to deliver lessons and respond to your enquiries

We will not sell your personal information. Some providers above are based outside Australia (notably the United States); we take reasonable steps to ensure those providers comply with the APPs or equivalent protections.

We may disclose personal information where required by law, or to protect the rights, property or safety of any person.

How we store and protect your information

We store personal information electronically using the providers listed above. We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure, including secure passwords, two-factor authentication where available, and access controls.

We retain personal information for as long as it is needed for the purposes described in this policy, or as required by law (for example, tax and financial records). When information is no longer needed, we take reasonable steps to destroy or de-identify it.
